This notice explains what the Scotsoun Digital Archive does with information about the people who use it. It covers this website at https://scotsoun.co.uk and the podcasts we publish.
Who we are
The Archive is published by the Scots Leid Associe, a Scottish charity, number SC010286, of 47 Willowpark Court, Airdrie, ML6 0DS. We are the data controller for the information described here. You can reach us at publishing@scotsoun.co.uk.
The short version
We do not track you. We do not use advertising cookies, and we do not share information about you with anyone for marketing. We count how often pages are read and recordings are played, but those counts are not tied to you.
What we collect
Usage figures. We record how many times each page is viewed and each recording is played, as a daily total. These are counts only: there is no record of who viewed what, nothing is stored about an individual visitor, and nothing follows you between pages or between visits. We use these figures to understand which parts of the Archive people find useful and to report on its reach to our funders.
Server records. Like any website, our server keeps a short-term log of requests, which includes the internet address (IP address) they came from. These logs exist so we can keep the site running and secure, and they are cleared regularly.
Messages you send us. If you email us, we keep your message and our reply so we can deal with your enquiry and any follow-up.
Administrator accounts. Staff and volunteers who maintain the Archive have accounts holding their name, email address and an encrypted password. Visitors do not have accounts.
Cookies
We use one essential cookie, which keeps you signed in while you are working in the Archive's administration area. It is not used for tracking and is not shared.
Some pages embed video hosted by YouTube. If you play an embedded video, YouTube may set its own cookies, under its own privacy policy rather than ours.
Podcasts
Selected collections are published as podcasts and distributed through services such as Apple Podcasts and Spotify. When you listen through one of those services, that service collects information about you under its own privacy policy, not ours. We see only aggregate figures, such as how many times an episode was downloaded.
Where information is held
The website, its recordings and its database are hosted on Amazon Web Services in Ireland, within the European Union. Email we receive is held by our email provider.
How long we keep it
Usage figures are daily totals that identify nobody, and we keep them indefinitely so we can see trends over time. Server logs are kept briefly and then cleared. Emails are kept for as long as we need them for the matter you wrote about. Administrator accounts are removed when someone stops working on the Archive.
Your rights
Under UK data protection law you have the right to ask what information we hold about you, to have it corrected or deleted, and to object to how we use it. Because we do not collect information that identifies visitors, in most cases there will be nothing to find, but please ask if you would like to.
Write to publishing@scotsoun.co.uk and we will respond within one month. If you are unhappy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk.
